Whole-life costing also needs mileage or hours that come from telematics or odometer capture, and any gap in that series undermines replacement timing decisions that are otherwise the highest-value output of the system.
Interfaces that matter more than features
Three connections determine whether the fleet system stays current: telemetry from vehicles for distance, running hours and fault codes; the transport or dispatch system for planned availability and utilisation; and purchasing or finance for parts and invoices. Where any one is manual, data drifts within weeks and the system degrades into a maintenance diary. Assess suppliers on how these feeds work in practice, including how a mixed-age fleet with several telematics suppliers is handled, because heterogeneity is normal and rarely demonstrated.

- No. Telematics collects data from the vehicle; fleet software manages the asset's life, cost and compliance. They are usually connected, and some suppliers bundle them, but replacing one should not force replacing the other.

- Yes, though the emphasis moves. Maintenance may sit with the provider, but the operator still carries responsibility for roadworthiness on the day, still needs availability data for planning, and still needs evidence of checks and defect rectification.
- Where do trailers and non-powered assets fit?
- They need their own records with their own inspection cycles, and they move independently of tractors, so a system that models only powered vehicles will leave a significant part of the fleet tracked in spreadsheets.
