Methodology
Total income = participants × entry fee per participant + sponsorship income. Total cost = venue cost + prize pool + staffing cost + marketing cost + other cost. Net result = total income − total cost. Break-even participants = ceil((total cost − sponsorship income) ÷ entry fee per participant), where entry fee > 0; zero when no entry fee is set. A simplified planning model: it excludes payment processing fees, refunds, insurance, taxes, in-kind sponsorship valuation, and multi-day event complexity.
