Coach utilization calculator
Estimate coaching capacity utilization and gross margin from billed vs payable hours.
Methodology
Weekly capacity hours = coaches employed × payable hours per coach per week. Weekly billed hours = coaches employed × min(billed hours per coach per week, payable hours per coach per week). Utilization % = billed ÷ capacity × 100 (zero when capacity is zero). Weekly gross margin = weekly billed hours × (hourly charge-out rate − hourly coach cost). Annual gross margin = weekly gross margin × 52. A simplified planning model: it excludes employer payroll taxes, benefits, equipment and facility overhead, seasonality, and non-coaching staff time. Enter your own figures — orientation only, not financial advice.
These calculations are informational estimates based on headline rates and transparent assumptions — not tax, accounting, or legal advice. Verify with a qualified local advisor before relying on the results.
Data limitations
- Sports operator estimates use the figures you enter and simplified formulas — they exclude seasonality, tax, financing structure, and facility-specific variation.
- Utilization and capacity figures assume steady demand across open hours; real bookings vary by time of day, season, and local competition.
